PinkRoccade Local Government is an ICT company that develops specific software for local government, water boards and other government institutions and supports them with automated solutions for their daily work.

PinkRoccade Local Government consists of seven different independent business units and is part of the Total Specific Solutions (TSS) Group.

As planner and project manager, Rick van Son and Cindy de Bresser are the link between the internal planning and the consultants at the clients. Cindy focuses on the business unit Finance and Service and Rick is responsible for the business unit Information Provision. Together they are main users of Timewax and have been involved in both the implementation and the daily management of Timewax from day one.

How did PinkRoccade Local Government handle the planning before Timewax?

Previously, we registered the planning in Exact and in the Outlook calendars of the employees. This way of working did bring the desired result, but was very labor-intensive. The challenge then, and still today, was that the various business units are fairly autonomous. This sometimes makes it difficult to find a clear way of working.

Project managers and planners made the planning in Excel, shared it with colleagues by including it in their Outlook agendas and finally everything was recorded in Exact. This was a lot of manual work, mainly focused on recording capacity. Looking ahead to the occupancy was very limited and labor-intensive. In addition, it was not possible to view the planning from the perspective of projects.

Why did you choose Timewax?

In 2020 we made the switch from Exact to AFAS Software. At the same time, research was started into a planning tool that provides more insight into occupancy and capacity.

After comparing multiple planning tools, Timewax emerged as the best option. The 2-way link with both Outlook and AFAS was the deciding factor. In addition, Timewax was already successfully used by a number of sister organizations within the TSS Group.

What is the impact of Timewax on your organization?

The implementation period was intensive, partly due to the different AFAS setup at PinkRoccade. We now have a schedule that everyone can rely on. For the planners, it helps enormously that recording the schedule is very accessible: “You can very easily move, copy and switch between consultants.”

The planning automatically goes to the consultants’ agenda and through the 2-way link with Outlook the appointments from the agenda are also synchronized with Timewax. All this helps the planning to make a correct and complete planning. Another big advantage is that the post-calculation is now filled in AFAS directly. Project managers have direct insight into the status of their projects.

There is also time gain for the consultants. In the past, when booking the actual time, they had to search a lot for the correct project codes and it was difficult to retrieve what they had done and when. Now, because the planning is filled in from Timewax, the correct rules are already ready. Consultants only have to check the rules and can then submit them immediately. This means that far fewer mistakes are made and the quality has improved enormously.

What is the vision for the future?

The ambition is that in the future even more business units will participate in Timewax. This will make it even easier to look at availability from an overarching perspective and to easily create insight into occupancy.

Furthermore, we are going to take the next step with all dashboards and reports that are available in Timewax. We are going to work together with Timewax to inventory the needs and see how this can be fulfilled. With this step, management will be even better informed and project managers will receive more information to serve customers even better and faster.
